LandlordOS (operated by Landlord Services LLC, Norwich, CT) provides a property management platform ("Service") for residential landlords, property managers, and their tenants. This Privacy Policy explains how we collect, use, and protect your information.

Account Information: Name, email address, phone number, and role (landlord, tenant, bookkeeper, maintenance manager, contractor).

Property & Lease Data: Property addresses, unit numbers, lease terms, rent amounts, and payment history entered by landlords and property managers.

Financial Data via Plaid: When a landlord connects a bank account through our integration with Plaid Inc., we access:

This data is used solely to match incoming bank deposits (such as Zelle payments) to tenant rent records. We access transactions in read-only mode. We do not initiate payments, transfers, or debits through Plaid.

Application Data: Rental applicants may provide income, employment, references, and consent to background/credit screening as part of the application process.

Documents: Leases, notices, receipts, and other documents uploaded by users.

We use industry-standard security measures including encrypted connections (HTTPS/TLS), hashed passwords, CSRF protection, and role-based access controls. Bank credentials are never stored by our application — Plaid handles all bank authentication directly. Plaid access tokens are stored encrypted and are used solely for read-only transaction sync.

6. Data Retention & Deletion

We retain account and financial data for as long as your account is active or as needed to provide the Service and comply with legal obligations (including tax record retention requirements). You may request deletion of your personal data by contacting us at the address below. Upon receiving a verified deletion request, we will delete your personal data within 30 days, except where retention is required by law.

When a bank connection is disconnected through our platform, we revoke the Plaid access token and cease all future data retrieval from that account.

Our use of Plaid is limited to the Transactions product for read-only bank feed synchronization. We do not use Plaid for payment initiation, identity verification, asset verification, or income verification. By connecting your bank account, you acknowledge Plaid's End User Privacy Policy.

When processing rental applications that include credit or background screening, we comply with the Fair Credit Reporting Act (FCRA). Applicants provide explicit written consent before any screening is conducted. Adverse action notices are provided when applications are denied based on screening results.

We may update this Privacy Policy from time to time. Material changes will be communicated through the Service or via email. Continued use of the Service after changes constitutes acceptance of the updated policy.
